China Supplier Payment Terms: What to Check Before Deposit and Balance Payment

Before paying a Chinese supplier, agree what evidence is required at each payment milestone: verified seller and beneficiary details before the deposit; approved specifications before production; and the agreed inspection and shipment records before the balance. There is no single deposit percentage that makes every order safe. This guide explains how to make the decision reviewable.

What should you verify before paying a supplier deposit?

Match the contracting seller, quotation, invoice issuer and payment beneficiary. Obtain a written explanation of any different entity involved. Verify instructions through an established contact, especially if an account changes. A bank transfer receipt proves that money was sent; it does not establish production capability or successful delivery.

Freeze the product specification, quantity, packaging, approved sample reference and named delivery terms. Record tooling and sample charges separately. The buyer should understand what the deposit funds and what evidence will show that the corresponding work has started.

How much deposit should you pay?

Negotiate against the order’s material commitment, customization, production stages and supplier relationship. Avoid treating a familiar percentage as independent protection. A small deposit on an unclear order can still create a large problem if the specification and remedy process remain unresolved.

The International Trade Administration explains that cash in advance reduces non-payment risk for the exporter but is less attractive to the buyer. That distinction matters when a supplier describes advance payment as safe: safe for the seller does not mean the buyer’s delivery risk has disappeared.

How do you define evidence for each payment milestone?

Write each milestone as a deliverable, evidence requirement, reviewer and decision. For example: production authorization requires the approved specification and sample; a progress payment, if agreed, requires identified production records; balance review requires the agreed inspection result, packed quantities and release documents.

Use this checklist for every stage: amount and currency; due trigger; required records; person responsible for review; unresolved exceptions; and written authorization. Agree the process before payment, rather than adding new conditions after the supplier has performed against different terms.

When should you review the balance payment?

Review the balance when the agreed evidence is available, not simply because a message says the goods are ready. Check the report’s product, lot, quantity and specification revision. Reconcile inspection findings with the packing list and any warehouse receipts. Receiving cartons and inspecting product quality are different checks.

If a report fails or quantity changes, document the exception and obtain an agreed corrective-action or commercial decision. Do not imply that this checklist creates a unilateral right to withhold payment; the next step must be consistent with the transaction’s agreed terms and any advice needed for a dispute.

Example: make a payment trigger specific

Illustrative example, not a recommended payment ratio: a buyer and seller agree a $12,000 order with $3,600 deposit and $8,400 balance. Instead of writing only “balance when ready,” their order file identifies the production lot, approved packing specification, inspection scope and records required for balance review.

If 50 cartons were expected but only 48 are recorded, the reviewer logs the difference and asks for a reconciled quantity before authorizing the agreed next step. A photo of stacked cartons does not by itself resolve the count. Any revised shipment or amount is recorded and approved by both relevant parties.

Does using a payment service remove the need for checks?

No. Read the actual provider’s terms, eligible transaction scope, release conditions and dispute procedure before relying on a payment service. Do not assume an escrow label, platform badge or bank involvement guarantees product quality or a refund. Keep evidence inside the agreed payment and order process.

What should remain in the payment file?

Retain the seller identity record, approved invoice and beneficiary instructions, specification revision, milestone evidence, exception decisions and payment receipt. Link the final release to the exact order and shipment. For repeat orders, refresh anything that changed rather than copying an old approval.
